The Front Office Assistant Manager is responsible for ensuring a personalized and exceptional experience for all guests, handling requests with professionalism, attention to detail, and promptness. This role involves overseeing the daily operations of the guest service department, ensuring that guests’ needs are met, providing personalized recommendations, and creating lasting memories for our guests.

Key responsibilities

  • Maintains effective communication within the department.
  • Attends any department training sessions and/or meetings when required. Daily FO briefing, weekly RDM meeting
  • Liaises with other departments to ensure good communication and support.
  • Manage and resolve guest complaints and feedback, ensuring effective communication and satisfaction. 
  •  Provide training and development opportunities to enhance team skills and improve service delivery.
  • Delegate tasks and responsibilities to team members, ensuring smooth operations during busy periods.
  • Oversee the front office operations, ensuring it is well-stocked, organized, and fully operational.
  • Manage administrative tasks, such as maintaining guest records, processing requests, and tracking service quality.
  • Coaches staff to achieve quality KPIs (LQA, GRI, NPS).
  •  Demonstrates an ability to maintain confidentiality and privacy.
  • Understands guests’ needs and demonstrate an ability to deal with very
  • Assists to produce results through encouraging high achievement within the team.

Health & safety

  • Ensure awareness of and compliance with safe working practices as outlined in the Health and Safety Act and applicable workplace regulations. This includes understanding any specific hazards present in the work environment
  • Wearing appropriate protective clothing, as provided or recommended by the Company, is mandatory
  • Report any defects in the building, plant or equipment in accordance with hotel procedures
  • Immediately report any accidents involving staff, guests, or visitors, following the correct procedures
  • Attend mandatory Fire, Health, and Safety training and maintain full knowledge of and adherence to all related rules and protocols

 

Experience

  • Proven experience in front desk management or customer service roles within hospitality or luxury environments

Skills & knowledge

  • Fluency in Portuguese and English (additional languages are a plus)
  • Excellent leadership, communication and problem-solving skills
  • Proficiency in reservation systems and hotel management software  
  • Analytical ability to prepare and interpret reports           
  • Knowledge of quality and safety standards in the hospitality industry
